Terms & Conditions


These are the terms and conditions on which we, Big Whale Art, supply art workshops.

‘We’, ‘us’ and ‘our’ means Big Whale Art Ltd.. ‘You’, ‘‘the customer’, ‘your’, ‘participant’,  means the person who requested our services. 

  1. How to book

1.1 Securing your date. Please contact Big Whale Art either via the enquiry form on the website, by email or by telephone to secure your date. 

Once we have spoken to you, you will be emailed a booking form to complete and a request for a deposit of £50 to secure your booking in the diary.

Once your deposit has cleared, you will receive an email confirmation of your booking. 

1.2  Payment for the workshop. The balance (minus the deposit of £50) is due 14 days before the workshop. Payment can be made via Bank Transfer or PayPal. An email reminder will be sent out. 

1.3 Late or non-payment for the workshop. If the payment for the workshop is not received by the due date, the booking will be cancelled and the deposit forfeited. 


2. Price and participant numbers

2.1 Confirmed number of participants. The number of participants confirmed at the time of booking will be considered the final number for the event. 

2.2   Changes in participant numbers.

  • More participants: If the number of participants exceeds the confirmed number, additional charges will apply and these will be discussed and agreed upon in advance. Any changes should be communicated at least 7 days before the event.

  • Fewer participants: If fewer participants show up than the confirmed number, the client will still be responsible for the full payment based on the original number of participants confirmed at the time of booking. 

3. Supervision at children’s parties

3.1 For parties catering for under 18s: We require at least one responsible adult, other than representatives of Big Whale Art, to be available for the duration of the party. All Big Whale Art workshop leaders are DBS checked.


4. Cancellation by you

If you need to cancel your workshop, the following applies: 

4.1 Cancellations with more than 14 days’ notice will receive a full deposit refund. 

4.2 Cancellations with less than 14 days’ notice can move the booking to one alternative date within the next 12 months. If a suitable date cannot be found, your final payment will be refunded less the deposit. 


5. Cancellation by us

5. 1 Cancellation by us. If we have to cancel your workshop due to unforeseen circumstances and an alternative  suitable date cannot be found, your deposit and/or final balance will be refunded in full.  


6. Photography and media consent

 6.1 Kids’ workshops. Please note that during our workshops, we may take photos and short video clips for promotional purposes. These images will focus solely on the artwork and the creative process, such as children’s hands while they work. We will not photograph or film children's faces or any identifying features.

6.2 Corpororate and other adult workshops. During workshops, we may take photos and videos for promotional use, including on our website, social media, and other marketing materials. These images may include participants’ faces.

If you prefer not to be photographed or filmed, please let us know before the session begins. We will ensure your preference is respected.

6.3 No obligation to participate: You are under no obligation to participate in photographs or video recordings, and your decision will not affect your ability to attend or enjoy the event.

7. Paint Staining Disclaimer

7.1 Liability for stains: While we take reasonable care to provide appropriate materials and setup, we cannot guarantee that there will be no staining of clothes, carpets, or other personal belongings during the workshop. Participants are responsible for their own personal belongings.

7.2 Protective Measures: Aprons or protective clothing will be provided where possible, and we recommend that participants wear old or protective clothing to the workshop to avoid any risk of stains. 

7.3 Damage to Property: In the unlikely event that any damage occurs to the venue’s property (e.g. carpets or furniture), the host venue will assume responsibility. It is the responsibility of the customer to ensure that all valuable and/or fragile items, are removed from the rooms that works are to be carried out.


8. Public Liability Insurance

8.1 Insurance Coverage: We carry Public Liability Insurance to cover any accidental injury or damage to property that may occur during the workshop. This insurance provides protection in the event of unforeseen circumstances, such as accidents or injuries sustained on the premises. However, this coverage does not extend to personal items (such as clothing, accessories, or personal belongings) and participants are advised to take appropriate precautions.
